The project

Sendly is an all-in-one SaaS platform designed to manage the complete e-commerce lifecycle, from product creation to final-mile delivery.

The product is structured around four connected systems:

  • Sendly Commerce;
  • Sendly Store;
  • Sendly Delivery;
  • Sendly Marketplace.

The objective is to reduce the number of separate tools an online seller needs to operate their business.

The challenge

Modern e-commerce operations often depend on multiple disconnected systems for:

  • product management;
  • stock;
  • online stores;
  • customers;
  • orders;
  • logistics;
  • drivers;
  • tracking;
  • Cash On Delivery;
  • analytics.

Sendly is designed to unify these workflows while still providing specialized experiences for administrators, sellers, drivers and customers.

Sendly Commerce

Commerce is the operational core of the platform.

Sellers can manage:

  • products;
  • variants;
  • pricing;
  • promotions;
  • inventory;
  • orders;
  • warehouses;
  • customers.

Products can contain structured information including SKU, barcode, brand, category, pricing, purchasing cost, VAT, dimensions and weight.

Product variants

Products can contain multiple variants.

Each variant can independently define:

  • SKU;
  • barcode;
  • price;
  • stock;
  • image;
  • status.

This allows Sendly to support products with options such as size and color without duplicating the underlying product.

Inventory management

Inventory supports more than a single stock number.

The model distinguishes:

  • physical stock;
  • available stock;
  • reserved stock;
  • sold stock;
  • damaged stock;
  • returned stock.

Inventory can also be distributed across multiple warehouses, with stock movements stored in history.

Sendly Store

Each seller can create one or multiple public stores depending on their subscription.

Store configuration can include:

  • brand identity;
  • contact details;
  • address;
  • GPS position;
  • opening hours;
  • delivery zones;
  • delivery radius;
  • minimum order;
  • delivery fees;
  • open/closed status;
  • ratings.

Each store can then publish its own product catalogue.

Marketplace

Sendly Marketplace gives customers a central place to discover stores and products.

Customers can search by:

  • store;
  • product;
  • category;
  • brand.

Results can be filtered by distance, price, rating, delivery availability, opening status, promotions and category.

Location-based discovery

Geolocation is part of the Marketplace experience.

Nearby store discovery can combine:

  • customer position;
  • store position;
  • delivery zones;
  • maximum delivery radius;
  • store availability.

This makes marketplace discovery relevant to what can actually be delivered to the customer.

Cart and checkout

Customers can:

  • add products;
  • select variants;
  • adjust quantities;
  • remove items;
  • add notes;
  • apply coupons.

Before checkout, Sendly can verify current stock, price and delivery coverage.

Cash On Delivery is the primary payment method proposed for the MVP.

Order workflow

Orders can originate from several sources:

  • Sendly Marketplace;
  • manual entry;
  • CSV;
  • API;
  • external integrations.

An order can then progress through the operational workflow:

Order → Validation → Preparation → Shipment creation → Driver assignment → Pickup → Delivery.

Sendly Delivery

The Delivery module handles logistics and parcel operations.

Each shipment can receive:

  • a unique tracking number;
  • QR code;
  • barcode;
  • printable label;
  • tracking history.

Customer tracking

Customers can follow their shipment from a public tracking page.

Typical milestones include:

  • order confirmed;
  • preparation;
  • parcel ready;
  • driver pickup;
  • out for delivery;
  • delivered.

Sensitive driver information is intentionally kept private.

Scan-based traceability

Scanning plays a central role in delivery operations.

Drivers can scan parcels during:

  • pickup;
  • delivery;
  • returns.

Each scan creates an immutable event, providing an auditable parcel history.

Proof of delivery

Delivery confirmation can include multiple forms of evidence:

  • QR scan;
  • timestamp;
  • GPS;
  • photo;
  • customer signature;
  • OTP verification.

This provides stronger traceability for sellers, drivers and customers.

Returns

Returns are treated as a complete operational workflow:

Request → Seller approval → Return pickup → Scan → Warehouse → Inspection → Accepted or rejected → Restock.

Driver network

Sendly supports both internal and independent drivers.

Independent drivers may work with multiple sellers, while each seller maintains an isolated operational view.

Drivers may also go through a KYC process involving identity documentation, selfie, phone verification and approval status.

Cash On Delivery

Cash collection is integrated into the delivery workflow.

For each order, Sendly can track:

  • order amount;
  • delivery fee;
  • amount to collect;
  • collected amount;
  • amount owed to the seller.

The platform can then maintain settlement history between sellers and drivers.

Seller dashboard

Seller dashboards can provide key operational metrics including:

  • orders;
  • revenue;
  • delivered orders;
  • returns;
  • cash collected;
  • best products;
  • low-stock products;
  • average basket;
  • new customers;
  • delivery rate;
  • failure rate;
  • return rate;
  • driver performance.

Analytics

Store analytics can cover the entire commerce funnel:

Visitors → Product views → Cart additions → Checkout → Orders.

This gives sellers insight into both operational and commercial performance.

Promotions and retention

Sellers can create coupons with configurable percentage or fixed discounts, minimum order values, dates, usage limits and eligible products or customers.

Customers can also save products and stores as favorites.

SaaS model

Sendly is designed as a subscription-based product.

Seller tiers can include:

  • Basic;
  • Pro;
  • Premium.

Capabilities can scale from basic product and order management to multi-store, multi-warehouse, multi-driver, API access, advanced analytics and integrations.

API and integrations

Sendly is designed to expose an API for external commerce platforms.

Potential integrations include:

  • Shopify;
  • WooCommerce;
  • PrestaShop;
  • custom e-commerce websites;
  • mobile applications.

This allows Sendly to operate as infrastructure behind existing sales channels.

Security and multi-tenancy

Tenant isolation is a fundamental architectural requirement.

The platform specification includes:

  • authentication;
  • JWT and refresh tokens;
  • RBAC;
  • multi-tenancy;
  • seller isolation;
  • rate limiting;
  • activity logs;
  • audit logs;
  • encrypted sensitive data;
  • signed access for private files.

One seller must never be able to access another seller's information.

Realtime

Realtime events can be used for:

  • new orders;
  • status changes;
  • scans;
  • tracking;
  • notifications.

Redis can support caching, background jobs, sessions and rate limiting.

Architecture

The proposed architecture separates backend business logic from client experiences.

Backend

Ruby on Rails API for:

  • authentication;
  • orders;
  • products;
  • inventory;
  • shipments;
  • marketplace;
  • subscriptions;
  • payments.

Frontend

Next.js applications for:

  • customer Marketplace;
  • seller dashboard;
  • driver interface;
  • administrator back office.

Mobile-first

The driver experience is designed primarily for mobile use.

Core actions include scanning, viewing the next mission, calling the customer, opening Maps, confirming delivery and processing returns.

The customer Marketplace is also designed mobile-first.

MVP

The MVP focuses on the essential end-to-end flow.

Seller: Products, stock, orders, shipments, store and catalogue.

Customer: Stores, catalogue, product details, cart, COD checkout and tracking.

Driver: Missions, QR scanning, pickup, delivery and returns.

Admin: Seller management, drivers and KYC.

Outcome

Sendly is designed as a unified commerce and logistics ecosystem.

A seller can operate through the entire lifecycle:

Product → Stock → Store → Customer → Order → Preparation → Shipment → Driver → Tracking → Delivery → Cash → Review → Analytics.

The final product vision is an integrated SaaS + Commerce + Marketplace + Delivery platform.
